What comes out

Every unit, the same columns every time

A rent roll scraper that reads the layout instead of a template: whatever system printed it, each unit comes back as one row with these fields.

  • Unit and unit typeThe unit number, its floor plan, and square feet
  • Beds and bathsWhen the rent roll lists them
  • OccupancyOccupied or vacant; model, employee, and down units marked
  • ResidentThe name on the lease
  • Move-in and move-outDates in one format
  • Lease start and endMonth-to-month leases flagged, with their charge
  • Market rentPer unit, as the rent roll prints it
  • Tenant rent and subsidyThe resident's share and any government subsidy
  • Other chargesEvery charge by its charge code, such as parking, pets, or utilities

Plus a unit mix: units, mix, occupied units, average square feet, and average and total in-place and market rent by unit type.

Checked, not just copied

Checked against the rent roll's own totals

Every result is compared with the totals the rent roll prints. When a figure doesn't match, the result is marked for review and says what to look at, so nothing wrong lands in your model unnoticed.

  • Total units
  • Occupied and vacant units
  • Total market rent
  • Total tenant rent
  • Government subsidy total
  • Total charges

Questions & answers

Rent roll extraction, answered

What is rent roll extraction?

Rent roll extraction, also called rent roll parsing, means reading a rent roll file and turning it into structured data: one row per unit with its unit type, resident, lease dates, rents, and charges. QuickData does this for multifamily rent rolls in Excel, CSV, and PDF and checks the result against the totals the document prints.

Is QuickData a rent roll scraper?

In the sense people usually mean, yes: it pulls every unit out of a rent roll file, whatever its layout, into the same columns every time. Unlike a scraper, it also checks the result against the totals the rent roll prints and flags anything that doesn't match.

How do I convert a rent roll PDF to Excel?

Drop the PDF into the extractor. It reads the layout, returns every unit as a row with the same column names each time, and flags anything that does not reconcile with the document's own totals. With the Excel Add-In the rows land directly in your underwriting model.

Which property management systems' rent rolls does it read?

Excel (xlsx, xls), CSV, and PDF exports from any property management system, including Yardi, RealPage, Entrata, AppFolio, ResMan, and MRI.

Which fields come out of a rent roll?

For every unit: the unit number and type, square feet, beds and baths, occupancy, the resident, move-in and move-out dates, lease start and end, market rent, the tenant's rent, any government subsidy, the total rent, month-to-month status, model, employee, and down units, and every other charge by its charge code.

Does it build a unit mix?

Yes. Every rent roll comes back with a unit mix by unit type: units, mix, occupied units, average square feet, and average and total in-place and market rent.

How accurate is the rent roll extraction?

99.3% accurate. Every result is checked against the rent roll's own totals: units, occupied and vacant units, market rent, tenant rent, subsidies, and charges. When a figure doesn't reconcile, the result is marked for review and tells you what to look at.

Where can the rent roll data go?

Into your own Excel underwriting model with the Excel Add-In, into the Deal Screener to screen the deal, or into your own software through the API.

How much does it cost?

Your first 10 documents are free. In Excel it is the Excel Add-In, $99 a month for each person on your team; for your own software, the API is $99 a month for 100 documents and $1 per document after that. A credit card is required to sign up, and billing starts only after your first 10 documents.

What happens to the files I upload, and is my data private?

Your file is read to produce your result, and QuickData stores nothing of it when it reads cleanly: not the file, not the result. A file that can't be read, or whose result needs review, is saved as an anonymized copy (residents' names, ids, emails, and phone numbers replaced) so our team can fix the cause; it is deleted when that is done, and after 30 days at the latest. Your data is never sold or shared with marketers. Text from it goes to our AI processing providers to help read it, and neither may train on it: one reads every document and keeps nothing, and the other checks some documents when the first is unsure or the result doesn't match the document's totals, and deletes what it receives within 30 days.
