What comes out

One chart of accounts for every T12

Each property manager names its accounts differently. Every line is sorted into the same standard categories, with its twelve monthly values and the total the statement prints, so one T12 compares with the next.

Income

  • Gross Potential Rent
  • General Vacancy
  • Admin/Employee Units
  • Concessions
  • Bad Debt
  • Loss-to-Lease
  • Utility Reimbursements (RUBS)
  • Other Income

Operating expenses

  • Payroll
  • Advertising & Marketing
  • General & Administrative
  • Utilities
  • Repairs & Maintenance
  • Contract Services
  • Management Fee
  • Make Ready
  • Taxes
  • Insurance

Your own categories too: add them under any standard one, for example Electricity and Gas under Utilities, and matching lines are sorted into them automatically.

Checked, not just copied

Checked against the statement's own totals

The categorized lines are added up and compared with the totals the T12 prints. When a sum doesn't match, the result is marked for review and the lines to look at are highlighted.

Statements longer than a year keep their last twelve months with activity, and PDFs printed across several pages are read as one statement.

  • Effective gross income (EGI)
  • Total operating expenses
  • Net operating income (NOI)

Questions & answers

T12 extraction, answered

What is a T12?

A T12 (trailing twelve months) is a property's monthly income and expense statement for the last year: the operating statement underwriters use for the property's actual income, expenses, and NOI.

What is automated T12 data extraction?

Reading a T12 file and turning it into structured data without retyping it: every income and expense line with its twelve monthly values and its total, sorted into standard categories. QuickData does this for multifamily T12s in Excel, CSV, and PDF.

How do I get a T12 into Excel?

Drop it into the Excel Add-In. Every line comes back categorized, with its months and total, and the summary by category lands in your own underwriting model.

Which categories are T12 lines sorted into?

Income: Gross Potential Rent, General Vacancy, Admin/Employee Units, Concessions, Bad Debt, Loss-to-Lease, Utility Reimbursements (RUBS), and Other Income. Expenses: Payroll, Advertising & Marketing, General & Administrative, Utilities, Repairs & Maintenance, Contract Services, Management Fee, Make Ready, Taxes, and Insurance.

Can I set my own T12 expense categories?

Yes. Add your own categories under any standard one, for example Electricity and Gas under Utilities, and matching lines are sorted into them automatically.

How is a T12 result checked?

Against the statement's own totals: effective gross income, total operating expenses, and net operating income. When a sum doesn't match, the result is marked for review and the lines to look at are highlighted.

What about statements longer than twelve months, or PDFs?

The last twelve months with activity are kept, and earlier months are left out. PDFs are read too, including statements printed across several pages.

How accurate is the T12 extraction?

99.3% accurate, measured on real multifamily rent rolls and T12s in Excel, CSV, and PDF.

How much does it cost?

Your first 10 documents are free. In Excel it is the Excel Add-In, $99 a month for each person on your team; for your own software, the API is $99 a month for 100 documents and $1 per document after that. A credit card is required to sign up, and billing starts only after your first 10 documents.

What happens to the files I upload, and is my data private?

Your file is read to produce your result, and QuickData stores nothing of it when it reads cleanly: not the file, not the result. A file that can't be read, or whose result needs review, is saved as an anonymized copy (residents' names, ids, emails, and phone numbers replaced) so our team can fix the cause; it is deleted when that is done, and after 30 days at the latest. Your data is never sold or shared with marketers. Text from it goes to our AI processing providers to help read it, and neither may train on it: one reads every document and keeps nothing, and the other checks some documents when the first is unsure or the result doesn't match the document's totals, and deletes what it receives within 30 days. Details are in our privacy policy.
